STEPS TO TAKE FOR A SUCCESSFUL SUBMISSION to this conference

  1. Review the list of conference topics and special sessions on the Conference overview page.
  2. Familiarize yourself with the submission requirements immediately below.
  3. Review the submission options for journal-first, abstract-first, or proceedings-first.
  4. Review the deadlines for submissions.
  5. Familiarize yourself with IS&T publication guidelinespublication policy, EI 2025 copyright transfer agreement, and relevant templates (below).
  6. Review the EI author obligations.
  7. Prepare your draft paper or extended abstract for review.
  8. Submit using the appropriate link found under submission options.

Submission Requirements

We request that the following questions be specifically addressed in the structured abstract. They are also good guidelines for constructing a solid draft paper.
  1. What is the scientific topic or problem addressed?
  2. What are the challenges and barriers faced?
  3. Why is this important for the community?
  4. What is the original method proposed to address the problem or issue?
  5. What is its novelty compared to the state of art?
  6. What is the efficiency of the method (presentation of results and comparison with the state of art)?
If the submission does not respect this format (all 6 points explicitly addressed and include some preliminary results shown), it may not be reviewed by the Program Committee.

Submission Options

There are four options for submission; please read the descriptions carefully.

  1. Proceeding-first: presentation at the conference and publication in the conference proceedings. This is the most common option, and if accepted you will be assigned either an oral or interactive (poster) presentation.   2. Abstract-first. Submit a 1,000-word structured abstract with optional figures. If accepted, you will give an oral or interactive (poster) presentation at the conference and may decide upon acceptance whether to submit a conference proceedings paper or proceed with a presentation-only option.  SUBMIT NOW
  3. JPI-first. Expedited review and publication in the Journal of Perceptual Imaging (JPI) before the conference, oral presentation at the conference, and inclusion in the conference proceedings. To meet the publication timeline, successful JPI-first submissions (journal paper, typically 10 or more pages) must require only minor revisions in response to peer-review. Those not meeting this stringent standard are automatically re-considered for presentation at the conference and publication in the proceedings (option 1 above).   4. JIST-first. Expedited review and publication in the Journal of Imaging Science and Technology [SCI/EI-indexed] before the conference, oral presentation at the conference, and inclusion in the conference proceedings. To meet the publication timeline, successful JIST-first submissions (journal paper, typically 10 or more pages) must require only minor revisions in response to peer-review. Those not meeting this stringent standard are automatically re-considered for presentation at the conference and publication in the proceedings (option 1 above). Accepted Submissions

Accepted works are assigned to an oral presentation slot (typically 20 minutes) or to the Interactive (Poster) Paper Session (90-minute poster session). After your submission is accepted, you may submit a final proceedings paper (see below) or select the presentation-only option.

All EI authors are invited to participate in the Demonstration Session. During this session, authors present "material" supplemental to their paper in an "exhibit hall" atmosphere. Materials presented may include hardware, software, physical items, integrated systems, etc.

Submission Deadlines

JIST-first and JPI-first Submission Deadline: 31 July 2024 (Submit now via links above)

Early Submission Deadline: 15 August 2024
We suggest that authors who want an early decision to be able to get funding approval and make travel plans or would like to submit their proceedings paper FastTrack (see above under Priority Deadline).

Authors who submit after the Early Submission Deadline will be notified as conference programs are finalized, by late Fall 2024.

Extended Submission Deadline: 30 September 2024

LATE Submission Deadline: 15 October 2024

Priority Submission Deadline: 21 July 2024 CLOSED SUBMIT NOW
We suggest that authors who fit any of the situations below submit by the Priority deadline:

  • Authors who require a VISA to enter the United States
  • Authors who plan to prepare their EI Conference Proceedings paper to be available early for FastTrack. Fast Track allows your paper to be posted in the Digital Library prior to the start of the Symposium.
  • Those who want to increase time for obtaining budget support from within your sponsoring organization.

Accepted Manuscript Submission Details

Process

Final proceedings manuscripts (typically 4-6 pages) are submitted via a custom link given to each accepted author using the Word or LaTex manuscript templates (links below).

Journal-first manuscript deadlines and submission information are provided at time of acceptance.

Deadlines

You may submit your paper so that it is available in the Digital Library during EI or post-Symposium.

Manuscripts submitted in correct form by 8 January 2025 will be published online in the EI Digital Library as of the opening day of EI 2025, under FastTrack, then moved to the proceedings volume post Symposium.

TO SUBMIT FASTRACK: Send PDF of final file (proof carefully, no changes will be made by staff), selected signed copyright transfer option, and a .png or .jpg image 350x206 pixels that best illustrates your paper (to be used within the EI Digital Library) to [email protected]. Be sure to put EI2025 and your paper number in the subject line.

Manuscripts submitted or corrected after that date will be published online after EI 2025 in the conference proceedings volume.

All manuscripts are due, in correct form, by 21 February 2025.

Templates, Guidelines, and Forms

Author Obligations

Authors submitting to EI agree to the following

  • Authorize IS&T to circulate the submission to conference committee members (or journal reviewers) for peer-review and/or selection purposes.
  • Pay Symposium registration fees: If your work is accepted, you are obligated to register and present your work at EI as scheduled. Publication is conditional on your presentation. We ask that you register at the appropriate registration rate by the early registration deadline. At least one full Presenting Author registration is required with each accepted paper. Authors accepted under the Journal-first option must register for the conference AND pay the journal publication charges; reduced rates apply. See journal-first information for details.
  • Fund your registration, travel, and accommodations independent of IS&T.
  • As applicable, secure a visa to travel to the US. Support letters are provided to accepted authors. We suggest that you choose the early decision submission option and complete the visa letter request form  as soon as you are notified of acceptance.
  • Ensure that all clearances (government and company) have been obtained to present and publish the work. If you are a DoD contractor in the USA, allow at least 60 days for clearance.
  • Sign and submit the IS&T Copyright Transfer Agreement. Please note that accommodations are made for authors who need to sign creative commons copyright forms such as CC BY and other options.
  • Submit a full-length manuscript (typically 4-6 pages) for publication in the IS&T Digital Library by the stated deadlines unless Presentation-only is selected.
  • Attend EI and give a high-quality presentation as scheduled in the technical program. Prior to the conference, carefully construct and practice your presentation to faithfully represent your work to other attendees. Be prepared to answer questions. about the work.

Please note: Commercial papers, papers with no new research/ development content, and papers where supporting data or a technical description cannot be given for proprietary reasons will not be accepted for presentation.
